Using Electronic Class Rolls on the Web at UNC


    Introduction

The new Web version of the Electronic Class Rolls (ECR) system has been developed to help UNC faculty and staff manage the administrative demands of tracking student enrollment, attendance, and grades. The new system also enables you to update course descriptions and to search courses within your department. In addition, the new ECR offers you the following advantages over the old ECR system:

  • You will receive real-time enrollment information. The old ECR system displayed updated information every 24 hours.

  • You can view information for multiple terms (e.g., current spring, summer sessions, and fall terms).

  • You can email your entire class directly from the new ECR system, or you can choose to email students individually.

  • You can still download class roll information for use with Microsoft Excel or other applications that you use.

  • You will also be able to view photos of your students in the system in the near future.

    What You Need

To use this program, your name and PID must appear in the UNC-CH instructor file maintained by the University Registrar. If you are unable to use this program, please contact the Center for Teaching and Learning (CTL). The Web address for CTL is http://www.unc.edu/depts/ctl/.

Also, for security reasons, you must use a WWW browser such as Netscape. If you do not have ready access to Netscape, it is available in the ITS microcomputer labs. Since the program involves downloading files, you will need to take a diskette with you if you access it from one of the labs, or you can contact CTL for assistance in downloading files. CTL staff can be reached by phone at 966-1289 or via email at ctl_unc@unc.edu. CTL also has downloadable grading templates that you may find useful. These templates are available at http://www.unc.edu/depts/ctl/gt.html . You can also download the information onto your personal AFS space, located on the H: drive. See the ITS document Accessing Your AFS Space (iig11) for more information on this option.

    Getting Started

There are two simple ways to access the system. One option is to point your Web browser to the following address:

http://facultystaffcentral.unc.edu

The other option is to point your browser to [ http://www.unc.edu ] www.unc.edu , click on For Faculty and Staff , and select Faculty/Staff: SIS Access under the Services option. Once you are at the Faculty/Staff Central Web page, you should see the following image:

The Login section

You will need your UNC Onyen and your Onyen password to access the system. Your Onyen is your login (e.g., username @email.unc.edu), which provides access to centralized computing resources at ITS. If you do not know your Onyen or do not have one, point your Web browser to the Onyen Web page at https://onyen.unc.edu .

To log in to the system, click on the Login with ONYEN Here button.

 Accessing the ECR System

Two factors affect an instructor's ability to access the ECR system:

  1. Instructors must demonstrate understanding of the Family Educational Rights and Privacy Act (FERPA)

  2. The department must identiify instructors in the SIS System and link them to courses that they teach. As part of the Login process, the next screen that you see may be the FERPA Quiz.

All instructors must demonstrate their understanding of the Family Educational Rights and Privacy Act (FERPA) and its application to handling student information before they receive an online class roster. Each instructor who has not already taken a quiz on FERPA, attended FERPA training, or has previously obtained Student Information System (SIS) access must take a quiz and pass it in order to access student information on the site.Instructors have three chances to take and pass a ten-question True/False test. To help you pass this quiz, the Classrolls website will display a FERPA review document for you to review prior to taking the True/False test on the web site.  The Department's Role in Identification of Instructors and Establishing Links to Courses

The departmental course scheduling officer for your department is responsible for entering each instructor's UNC personal identification information into the Student Information Services System and associating instructors with courses that they teach. The departmental scheduling officer for each academic department is thus in charge of controlling access to courses. If you are teaching a course and do not know who your departmental scheduling officer is, you may contact the University Registrar's Office at 962-6093 to ascertain this information.

    Using the New ECR System

After the login process, you are ready to begin using the system. The first screen that you will see will be a personalized menu page. In general, the menu will look like this:

Once you arrive at your menu page, you can access information on the courses to which you have been given access (See Above Section on Access). To use the menu, all you have to do is to type in the subject abbreviations that are used by the Registrar's Office in the Subject blank. (For a complete listing of departmental abbreviations, go to the Campus Directories page on the UNC Web site at [ http://www.unc.edu/dir ] www.unc.edu/dir and select Directory of Classes .) For example, if you are teaching a seminar in the English department and would like to view enrollment, then you would type "engl" (the abbreviation for the English department) in the Subject blank, include the course number, and use the dropdown menu in the Term box to select the desired semester. Here's the above example illustrated below:

To view complete information about enrolled students, simply click on the appropriate section number in the Sect box.

As the system loads your roll, the following screen image will appear in the front window. This notice contains important information about the confidentiality of student photos and advice on printing a class photo. Click on the text in the window as indicated to close the image and view your roll online.

At this point, you will be able to view your the class list and use several tools for communication, gradinng and class managment. Your classroll screen is formatted to appear like the image below.

Please note: A "Privacy Flag" in the Restricted Release column indicates the restrictions that student 6 has placed on the release of his/her directory information. To view these restrictions, click on the text "Private."

Privacy Disclaimer
  • View photos of each individual student in the class by clicking each student's PID number, shown in dark blue in the second column.

  • View a composite photo of all the students in the class by clicking the box labeled "Class Photos."

  • Download enrollment information to Microsoft Excel format by clicking the blue box labeled "Excel Download."

  • Send an e-mail to an individual student by clicking the student's email address, shown in dark blue in the last column.

  • Send an e-mail to the entire class by clicking the blue box labeled "E-mail Class."
