Converting Address Books to Mulberry


 To Convert or Not to Convert?

This document explains how to convert an addressbook to Mulberry from Netscape, Mozilla Mail, Microsoft Outlook, Pine, Siren, or Eudora. Converting from Eudora, Netscape, or Pine to Mulberry is usually quite easy. Converting from Outlook or Siren is more complex, however. If you use one of these programs and your address book has 25 names or fewer, you may find it easier to enter the addresses individually into Mulberry, rather than converting the entire address book. If your address book is larger, however, and you decide to convert it, you need to understand some basic address book concepts, which are discussed next.

Important Note about ITS and Addressbook Conversions

ITS provides this document to help you convert to Mulberry from other email programs. Additional help from ITS resources, however, may not always be available for addressbook conversions, which are not officially supported.

 Address Book Basics

If you are converting from Outlook or Siren, you need to be familiar with the following terms:

Records: A record is the set of information stored for an individual or group in your address book.

Fields: Address books separate information about each record into fields. Generally, each piece of information constitutes a separate field, so that, for example, the Name field is separate from the Email field.

Delimiters: Keystrokes known as delimiters separate each field in your address book. Mulberry uses the tab character as its delimiter, but Siren and Outlook use other delimiters. To use one of these address books in Mulberry, you must change the delimiters, as explained later in this document.

Group Addresses: Most address books have an option to store group addresses, that is, one record that includes multiple addresses. A group address might include the addresses of all members of your book or bicycle club, for example.

 Converting from Netscape to Mulberry

  1. Start any component of Netscape, and from the Communicator menu, select Address Book. From the File menu, select Export.

  2. Select a convenient folder in which to store the address book, save it in the LDIF format, and close the address book file.

  3. In Mulberry, select Open Address Book from the Addresses menu. The Address Book folder appears in the Address Book Manager window.

  4. To open a Mulberry address book, click the plus sign (+) next to the Address Books folder, and double-click your address book. (If you have not yet created an address book in Mulberry, make sure the Address Books folder is selected and then click the new button in the upper left-hand corner of the Address Book Manager window. After you name the new address book, the new address book window opens.)

  5. With an address book open, select the Addresses menu, Import Addresses, and from the drop down menu, select the appropriate address book type: To import from Netscape 4 or higher, select Communicator. (To import from earlier versions, select Netscape.)

  6. In the Open window, find the Netscape address book you saved earlier, and open it. The names from your old address book, including group addresses, are now added to your Mulberry address book.

  7. When you exit Mulberry, you may be asked if you want to save the changes you?ve made to your address book, in which case you need to select yes.

 Converting from Mozilla to Mulberry

  1. Start any component of Mozilla, and from the Window menu, select Address Book. From the Tools menu, select Export.

  2. Select a convenient folder in which to store the address book, save it in the LDIF format, and close the address book file.

  3. In Mulberry, select Open Address Book from the Address menu. The Address Book folder appears in the Address Book Manager window.

  4. To open a Mulberry address book, click the plus sign (+) next to the Address Books folder, and double-click your address book. (If you have not yet created an address book in Mulberry, make sure the Address Books folder is selected and then click the new button in the upper left-hand corner of the Address Book Manager window. After you name the new address book, the new address book window opens.)

  5. With an address book open, select the Address menu, Import Addresses, select the appropriate Address Books Type from the menu window. In this case it is LDIF.

  6. In the Open window, find the Mesilla address book you saved earlier, and open it. The names from your old address book, including group addresses, are now added to your Mulberry address book.

  7. When you exit Mulberry, you may be asked if you want to save the changes you?ve made to your address book, in which case you need to select yes.

 Converting from Outlook to Mulberry

Microsoft makes two major versions of their email program, Outlook:

  • Outlook Express is free, and comes packaged with Internet Explorer. (If you do not already have Internet Explorer, you can download it from [ http://www.microsoft.com/ ] Microsoft. )

  • Outlook comes packaged with Microsoft Office. It comes in different varieties named for the year the program was released.

Instructions are provided in this document for converting from the different versions of Outlook.

 Converting from different versions of Outlook to Mulberry

Outlook has problems converting to Mulberry. However, you can take advantage of the fact that Outlook shares its address book with Outlook Express, and instead of converting from Outlook, convert to Mulberry from Outlook Express.

Note

f you are using Outlook 2000, XP or 2003, you also have the additional option of converting your address book to Mozilla, and then from Mozilla to Mulberry.

If the Outlook and Outlook Express address books are not currently shared, turn on the sharing option by completing the steps below.

 Steps for Sharing the Outlook 97, 98, 2000 and Outlook Express Address Book

  1. Open your address book in Outlook Express by selecting the Tools menu, and then Address Book.

  2. In the Address Book window, select the Tools menu, and then Options.

  3. If the option to Share contact information is not selected, and if you have important addresses in your Outlook Express book, you need to click Cancel and copy those addresses as explained in the section, Copying Outlook Express Addresses to Outlook below. Then turn on the sharing option.

  4. If the option to Share contact information is not selected, and if you have copied any important addresses from Outlook Express to Outlook already, click in the check box to turn on the option and then click OK.

  5. If the option to Share contact information is already selected, you?re done. The address book is shared.

  6. Exit and restart Outlook Express. The address book is now shared.

  7. Convert your Outlook Express address book to Mulberry, as explained later in this document.

 Copying Outlook Express Addresses to Outlook

When you first turn on the sharing option, Outlooks address book replaces the contents of the Outlook Express address book. This means you lose any Outlook Express addresses. You may want to copy the addresses from Outlook Express to Outlook before sharing the address book. Select the addresses in the Outlook Express address book, and then select Copy from the Edit menu. Then open the Outlook 98 Contacts folder, and select Paste from the Edit menu. In each new contact window, select the Save and Close button. Then turn on the sharing option as described above. You can then add, edit, or delete addresses to the shared address book from either Outlook or Outlook Express.

 Copying the Outlook 2002 or 2003 contacts to the Outlook Express Address Book

First step, if Outlook does not have a personal address book configured already, you will need to add one it to it.

  1. Click the tools menu and then click e-mail accounts.

  2. Add a new directory or address book.

  3. Click on additional address books.

  4. Select personal address book and click next.

    Note

    You may get the message this account or directory already exists and cannot be specified twice, just click OK, cancel and go to the second set of instructions.

  5. Next, the name box appears; type a name for the personal address book in the box.

  6. Under show names by, select last name format (Smith, John), and then click OK.

  7. Close and re-open Outlook.

Second Step, export the Outlook contacts folder.

  1. In Outlook, click on the tools menu and click address book. When the address book dialog box opens click the tools menu and then options.

  2. In the personal addresses in field, type the name you provided for the personal address book in the first step, number 5 above and click OK.

  3. In the select names from the option, select Outlook address book, and then choose contacts.

  4. Click the contact or contacts you want to add to your address book. Press and hold CTRL while clicking, to select multiple entries.

  5. Right-click the entries, and click add to contacts.

  6. The entries will be copied to your address book file.

Third Step, import the Outlook contacts to Outlook Express.

  1. Open Outlook Express, click on file, import and then other address book.

  2. Click on Microsoft Exchange Personal Address Book, and click Import. You may be prompted to choose an Outlook profile, select your profile and click OK. When the import process is finished, just click ok.

    Note

    If Outlook Express finds a duplicate contact, you will be prompted to choose to replace the existing Outlook Express contact with the information from Outlook.

 Converting from Outlook Express to Mulberry

Convert from Outlook Express to Mulberry in one of two ways:

  • Convert from Outlook Express to Netscape, then from Netscape to Mulberry.

  • Export the address book from Outlook Express to the Mulberry folder, and make changes to the field delimiters and field order using tables in Microsoft Word or another program with which you?re familiar. These steps are provided next.

 Using Word Tables to Format the Outlook Express Address Book for Mulberry

  1. From Outlook Express, select the File menu, Export, and then Address Book

  2. In the Address Book Export tool window, click Text File (Comma Separated Values) and then click Export.

  3. In the CSV Export window, click Browse. In the Save As window, open the Mulberry address folder, which is normally C:\Program Files\Mulberry\Address Books\. Save the Outlook file here with a name ending in.mba to indicate that the file is a Mulberry address book. Notice that Outlook also automatically selects the .csv file format, which is fine.

  4. In the CSV window again, select next.

  5. Select the following fields to export: Name, Nickname, and E-mail. If you want to import other fields, select all of these in addition: Home (or Business) Street, Home Phone, Home (or Business) Fax, Personal (or Business) Web Page, Business Phone, Company, and Notes. When you are finished, you should have either the first three fields, or all ten fields listed here. Make sure no other options are checked. Click Finish. Your address book file is saved as a text file with the extension .mba

  6. Start Word. Select Open from the File menu, and change the Files of type option at the bottom of the window to All Files (*.*). Find and open the address book you just exported to C:\Program Files\Mulberry\Address Books\. You may have selected a different group of fields, but they appear in the following format, separated by commas:

    Name, Nickname, E-mail, Address, Home Street, Home Phone, Home Fax, Personal Web Page, Business Phone, Company, Notes

  7. You'll use a table in Word to put the old Outlook fields in the correct order for Mulberry and change the delimiters. Select all the text in the file by selecting the Edit menu, and then Select All (or by pressing Ctrl-a).

  8. From the Table menu, select Convert, and then Text to Table. At the bottom of the Convert Text to Table window, select the option to separate the text with Commas, and click OK. Word creates a table for you.

  9. You need to move the Nickname column so that it?s first in the table. Put your pointer arrow at the top of the columns gridline, and when you see a black arrow pointing downward, click to select the entire column. Cut the Nickname column, by selecting Cut from the Edit menu (or by pressing Ctrl-x).

  10. Click in the first cell of the Name column, making sure the blinking cursor appears to the left of the word Name. Paste the Nickname column by selecting Paste from the Edit menu (or by pressing Ctrl-v). Notice that the Nickname column appears to the left of the Name column, which is correct.

  11. If you have imported the other seven optional fields, cut and paste columns as necessary to put the table in this order: Nickname, Name, Email, Company, Home (or Business) Street, Business Phone, Home Phone, Home (or Business) Fax, Personal (or Business) Web Page, Notes.

  12. Now you'll convert the table back to plain text, and change the delimiters to tabs. From the Table menu, select the Select command, and then Table. (If this option is not available, first click somewhere else in the table and then try again.)

  13. From the Table menu, select Convert, and then the Table to Text option. (If this option is not available, try selecting the table again using the Table menu, as described in the previous step.)

  14. In the Convert Table to Text window, select the option to separate text with Tabs and click OK.

  15. Save and close the file. When Word warns you that the file contains features that aren?t compatible with the Text-only format, click yes to continue saving it anyway.

  16. If Mulberry was open while you worked with the address book file, close and open it again.

  17. In Mulberry, select Open Address Book from the Addresses menu. The Address Book folder appears in the Address Book Manager window. Click the plus sign (+) next to the Address Books folder, and open the address book you just brought into Mulberry by double-clicking it.

  18. Any group addresses were not exported by Outlook Express. Add those to your address book now if necessary.

 Converting from Pine to Mulberry

  1. Connect to the Internet and use an SFTP program such as Secure Shell to connect to isis.unc.edu and download the file .address book from your Isis home directory. For help using an SFTP program, see the document [ http://help.unc.edu/?id=5855 ] File Upload and Download (SFTP) .

  2. In Mulberry, select Open Address Book from the Addresses menu. The Address Book folder appears in the Address Book Manager window. To open an address book, click the plus sign (+) next to the Address Books folder, and double-click your address book. (If you have not yet created an address book in Mulberry, make sure the Address Books folder is selected and then click the new button in the upper left-hand corner of the Address Book Manager window. After you name the new address book, the new address book window opens.)

  3. With an address book open, select the Addresses menu, Import Addresses, and from the drop down menu, select Pine.

  4. In the Open window, find and open the Pine address book file.

  5. The names from your old address book, including group addresses, are now added to your Mulberry address book.

  6. When you exit Mulberry, you may be asked if you wish to save the changes you?ve made to your address book. Select Yes.

 Converting from Siren to Mulberry

Convert from Siren to Mulberry in one of two ways:

  • Convert from Siren to Netscape, then from Netscape to Mulberry.

  • Export the address book from Siren to the Mulberry folder. In Microsoft Word (or another program with which you?re familiar) change the field delimiters and use tables to change the order of fields. This is a good option if you are very comfortable working with tables in Word. The steps are provided next.

 Using Word Tables to Format the Siren Address Book for Mulberry

  1. Open Siren. If the address book window is not open, select the Utility menu and then Address Book. (The command is not available if the address book is already open.)

  2. Select Command, and then Export to ASCII file.

  3. In the Save As window, open the Mulberry address book folder, which is normally C:\Program Files\Mulberry\Address Books\. Name the file with the extension .mba to indicate that it is a Mulberry address book. For example, the file name might be old address.mba.

  4. Start Word. Select Open from the File menu, and change the Files of type option at the bottom of the window to All Files (*.*). Find and open the address book you just exported to C:\Program Files\Mulberry\Address Books\. Although not every record may have information in each field, each record is in this format:

    First_Name, Last_Name, Company Name, Fax Number, Email_address, Alias

  5. Fields in the Siren address book are separated by quotation marks and semi-colons. Mulberry fields are separated only by tabs. To prepare the Siren file for Mulberry, first, replace all quotation marks (") with nothing.

    To do this in Word, select the Edit menu and then replace. In the Find What field, type?. Make sure the Replace with field is blank, that is, it contains no characters or formatting. Then select replace all. Next, replace all semi-colons with tabs. In Word, type; in the Replace field. To tell Word to search for tab characters, you use a special combination of characters: the caret sign, which is usually found above the number 6 on your keyboard, followed by the letter t. In the Replace with field, then, type ^t. Then click Replace All.

  6. You'll use a table in Word to put the Siren fields in the correct order for Mulberry. Select all the text in the file by selecting the Edit menu, and then Select All (or by pressing Ctrl-a). From the Table menu, select Convert, and then Text to Table. At the bottom of the Convert Text to Table window, select the option to separate the text with Tabs, and click OK. Word creates a table for you.

  7. Now you need to change the order of the Siren fields to match the Mulberry fields. Move the Alias column so that it?s first in the table. To do this, place your pointer arrow on the top gridline of the column containing aliases. When you see a black, downward pointing arrow, click to select the entire column. Cut the alias column by selecting Cut from the Edit menu (or by pressing Ctrl-x). Now, click in the first cell of the column containing first names, making sure the blinking cursor appears to the left of the name in the first cell. Paste the alias column by selecting Paste from the Edit menu (or by pressing Ctrl-v). Notice that the column containing aliases now appears to the left of the column containing first names, which is correct.

  8. Use the same procedure to cut the column containing email addresses and paste it to the left of the column containing company names. The columns in your table should now be in this order: alias, first name, last name, email, company, fax number.

  9. You need to combine the first name and last name fields. To do this, turn on the Tables and Border toolbar by selecting the View menu, Toolbars, and then making sure there is a check next to Tables and Borders. Select the Eraser button from the toolbar. Erase the line separating the first and last name column by clicking and dragging the eraser over the line. If you like, you can do one page at a time. When you release the mouse, the cells are combined. Continue until you combine the first and last name fields for all the records.

  10. Merging the cells adds an unwanted paragraph break to the name field. Globally replace all paragraph marks with a space. In Word, the paragraph mark, like the tab, is a special character. In the Replace field, type ^p. Next, select anything in the Replace with field, and press the spacebar. Then click Replace All.

  11. Now you need to do one of the following:

    If you don?t want to import the company name and fax fields, delete them. Put your pointer arrow on the top gridline of the company column, and when it changes to a down arrow, click to select the column. Then, select the Table menu, the Delete option, and then Columns. The column is deleted. Delete the fax number column using the same technique. Your table should now have fields in the following order: alias, first name, last name, email.

    If you want to import the company name and fax fields, you have to add two blank columns between them so that Mulberry puts the right information in the right fields. To add the columns, click in the first cell of the fax number column, and from the Table menu, select Insert. If you?re using Word 2000, select Columns to the left. If you?re using an earlier version of Word, select Columns, and when asked which direction to shift cells, select Insert entire column. Then insert a second blank column. Your table should have fields in the following order: alias, first name, last name, email, company, blank, blank fax number.

  12. Now you'll convert the table back to plain text. From the Table menu, select the Select command, and then Table. (If this option is not available, first click somewhere else in the table and then try again.)

  13. From the Table menu, select Convert, and then the Table to Text option. (If this option is not available, try selecting the table again using the Table menu, as described in the previous step.) Select the option to separate text with Tabs and click OK.

  14. Save and close the file. When Word warns you that the file contains features that aren?t compatible with the Text-only format, click yes to continue saving it anyway.

  15. If Mulberry was open while you worked with the address book file, close and open it again.

  16. In Mulberry, select Open Address Book from the Addresses menu. The Address Book folder appears in the Address Book Manager window. Click the plus sign (+) next to the Address Books folder, and open the address book you just brought into Mulberry by double-clicking it.

 Converting from Eudora to Mulberry

Note

Eudora is not supported by ITS. For additional help with Eudora, visit the Eudora Web page at http://www.eudora.com/.

  1. If it is open, close the Eudora address book file.

  2. In Mulberry, select Open Address Book from the Addresses menu. The Address Book folder appears in the Address Book Manager window. To open an address book, click the plus sign (+) next to the Address Books folder, and double-click your address book. (If you have not yet created an address book in Mulberry, make sure the Address Books folder is selected and then click the new button in the upper left-hand corner of the Address Book Manager window. After you name the new address book, the new address book window opens.)

  3. With an address book open, select the Addresses menu, Import Addresses, and from the drop down menu, select Eudora or Eudora4, as appropriate.

  4. In the Open window, find the Eudora address book, nndbase.txt, usually in the Eudora Mail folder on your hard drive. (Any new address books in Eudora are saved as text files in the Nicknames folder inside the Eudora Mail folder.)

  5. The names from your old Eudora address book, including group addresses, are now added to your Mulberry address book.

  6. When you exit Mulberry, you may be asked if you wish to save the changes you?ve made to your address book. To save these changes, select yes.
